Executive/Personal Assistant Supervisor:
Owner/Managing Practice Director FamilyCare Counseling Solutions, LLC is a private outpatient care center that provides mental health and substance use treatment, located in Northern Kentucky.

ROLE (What I do) This role will require but is not limited to:
The Executive/Personal Assistant will provide high-level administrative support to the Owner.
The Executive/Personal Assistant will support him with the business operations and personal life and his travel.
Reports directly to and works alongside the Owner/Practice Manager with business support to all clinic operations.
Supervisory
Responsibilities:
May recruit, interview, hire, and train junior administrative staff in the department.
Provide weekly supervision to the Receptionists/Administrative Assistants.
Duties/
Responsibilities:
Provides high-level administrative support and personal assistance to the Owner and/or other assigned leadership staff.
Manage confidential information Drive as needed in the Northern Kentucky Area.
Coordinate and assist with household needs as needed (care for dog, laundry, groceries, housekeeping etc.
) Support various personal business needs upon request Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
Screening telephone calls, taking messages and responding to queries.
Forwarding or replying to emails and correspondence addressed to other leadership executives etc.
Manage travel plans and scheduling:
Arranges travel (flights, transportation and other accommodations) for the Owner and other senior leadership staff.
Overall, help with Owners daily organization/time management Managing Owner's personal and the clinic's business diaries (meetings, scheduling).
Coordinating meetings, conference calls, and interviews.
Preparing for all meetings, which includes drafting agendas, gathering and printing all necessary documents, and organizing refreshments.
Maintaining Clinic Business Diary:
Patient Scheduling, Therapist Scheduling, Daily Appointments Tracking, Sales Tracking Responsible for the maintenance of staffs schedules/ensuring Therapist's are assigned sufficient client hours in order to meet their productivity Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
Organizing staff appreciation functions, and other company events.
Maintaining office equipment and reporting to the practice manager when supplies are running low Compiling and submitting expense reports Performing personal errands for Owner as requested/required.
Responsible for EHR management:
chart integrity, support requests and staff profiles Devise and maintain office filing system Responsible for processing payroll and monitoring Timekeeping system to ensure missed punches are corrected daily Responsible for HR support such as onboarding/new hire orientation, maintaining personnel files, scheduling interviews and arranging meetings, background checks and any other duties as assigned by the practice manager Assist with business development serving as a point of contact with business partners, visitors, clients and vendors (occasionally working before or after business hours to attend community events) Respond to patient complaints and grievances Responsible for paying office bills/managing outside vendors, and paying owners personal bills Performs additional duties as assigned by executives.
